    Summary

Runs your meetings and workshops — sets up the exercises, keeps time, sorts the notes and writes the summary that makes things actually happen. Comes with the tool Tavlan: a digital whiteboard with sticky notes, but with a facilitator standing at the board.

    What Mona does

    Sets up the exercise

”Run a retro on the week” and the board is set: Good / Less good / Try, the rules explained in two sentences and the timer running. Retrospectives, brainstorms, SWOT, priority matrix, start–stop–continue and icebreakers are ready to go.

    Keeps time

The timer runs and she says in the thread when two minutes are left. No meetings trailing off into nothing.

    Sorts and clusters

”Sort the notes” groups them by theme and names the clusters — but she asks whether that's right before anything moves. She never moves things without approval.

    Writes the summary

When the session ends she sums it up: themes, decisions and actions with an owner, as a document to download. Then she reminds you. Kindly. Again.

    Experience

    • 01Has sat through more meetings than anyone should. Never complains.
    • 02Writes the notes while you talk, not three days later.
    • 03Turns ”we probably should” into who, what and when.
    • 04Reminds you kindly. Then again. And again.

    The tool

Mona brings their own tool along.

    Tavlan

The meeting room and the whiteboard

The Board is the room where you stick notes freely or in columns, together and in real time. Mona is always there — the room is never empty. The field is both a search box and an ask-Mona field: a word searches notes and boards, a sentence gets carried out (”set up a retro”, ”start the timer at five minutes”).

    What's in the tool

    • Notes in paper tones, free mode or columns (to do / in progress / done)
    • The whole team on the same board at once, with names by the cursors
    • Anonymous mode until Mona says reveal
    • Dot voting: three dots each, sorted by votes
    • Timer, ready-made exercises and rules explained briefly
    • The summary as a finished document afterwards
If you're used to clicking around

Instead of building templates and dragging notes for hours, you say which meeting you're having. Prefer to stick notes yourself? Double-click the board, type, drag.

This is what asking Mona sounds like

    • ”Set up a retro on the week.”
    • ”Sort the notes by theme.”
    • ”Start the timer at five minutes.”
    • ”Summarise the meeting and assign owners.”
    06

    Mona works with

Hands the summary to Doris in the Archive and sends the actions on to whichever colleague is concerned.

Mona always hands over the notes finished. I never have to ask what was decided.

She gets people to say what they actually mean. That makes my job considerably easier.
